Receipt & Warranty Organizer for Your Home

The receipt you need is rarely the one on top of the pile. A home receipt organizer works best when every receipt, warranty card and manual is filed with the product it belongs to, so proof of purchase is one tap away when something needs a repair, a return or an insurance claim.

Short answer: Keep receipts for big purchases, anything with a warranty, anything you might return and home improvement work. Photograph paper receipts soon after buying, save order confirmations as PDFs, and attach each file to the product it belongs to instead of a general folder.

Which receipts are worth keeping?

You do not need to keep every grocery slip. Focus on receipts you are likely to need again:

How long to keep receipts for taxes, business expenses or rental deposits depends on your situation and where you live. Check official sources or ask a tax advisor rather than relying on a general rule.

Folders vs. product-linked receipts

Most people start with a folder approach: a drawer, a shoebox, or a "Receipts" folder on their computer. It works until you need a specific receipt two years later and cannot remember the store, the month or what the file was called.

If you use folders, a consistent naming pattern helps a lot. For example: 2026-03-14 Store name Product Receipt.pdf. Putting the date first keeps files in order, and including the product name makes them searchable.

A product-linked approach goes one step further. Instead of asking "where did I save that receipt?", you open the product, such as the dishwasher, and find its receipt, warranty card, manual and repair invoices together, next to the model and serial number. This is the approach Hanory uses, and it is especially helpful for items with long lives and several documents.

Photograph thermal paper receipts soon

Many store receipts are printed on thermal paper, which can fade with heat, light and time, sometimes within months. By the time you need it for a warranty claim, the date and amount may be unreadable. Photograph the receipt with your phone the day you buy the item, and keep the paper copy too if the seller may ask for the original.

A few habits make the photo useful later:

Save email receipts and order confirmations as PDFs

Online orders send their receipt by email, which feels safe until you change email providers or the message is deleted to make space. Save order confirmations and invoices as PDF files, using your browser's or email app's print-to-PDF option, and attach them to the product. Download invoices from store accounts too, because order histories are not always kept forever.

Warranty cards, manuals and service invoices

Receipts are not the only paperwork worth organizing:

How Hanory works as a receipt organizer

Hanory is a web app for keeping a digital record of your home. You add a product with its name, category, brand, model, room, purchase date, price, serial number and warranty end date, then upload documents to it.

Each document is a photo or PDF that you upload, labeled by type: receipt, warranty, manual, service, photo or other. Hanory does not scan receipts or read text from them, so you type the key details, such as the purchase date and warranty end date, yourself. It takes a minute per item, and you always know the data is what you entered.

Warranty end dates feed into the Today agenda, and you choose how many days before expiry you want a reminder. Maintenance and repairs can be logged on the same product with date, cost and the next service date.

Free plan and Plus

The free plan includes 25 documents or photos, one home and unlimited products, which covers the receipts for your most important items. Hanory Plus adds unlimited documents and unlimited homes. See pricing for details.

Backup and export

You can export your records as JSON, CSV or PDF at any time, including on the free plan. It is still a good habit to keep your original files, such as the PDFs from online orders, in a second place you control.

Privacy

Receipts can show where you shop, what you own and sometimes your address. In Hanory, documents are kept in private storage, and records are separated per user and household with database row-level security. No privileged server key is sent to your browser. Read more on the privacy page.

A simple receipt routine

  1. When you buy something worth keeping, photograph the receipt or save the order confirmation as a PDF that day.
  2. Add the product to Hanory, or open it if it already exists, and upload the file as a receipt.
  3. Add the warranty card or manual if there is one, and enter the warranty end date.
  4. After any repair, upload the service invoice to the same product.
